Every organization that manages physical assets has a system of record, and most have several. What they rarely have is a record that is true. The property system holds what was entered when the asset arrived. The claims system holds what the policyholder typed. The warehouse system holds what the manifest said. None of them hold what the item is today, what condition it is in, or whether it is where the record says it is.
The usual response is another system. A new platform is bought to reconcile the old ones, and it inherits the same problem, because it is still fed by assertion. A serial typed once. A condition assumed. A value taken from a category average. A disposition made by whoever was nearest.
The alternative is to change what the record is made of. A capture at every touch, bound to the identifier the organization already uses, turns the record into evidence. Identity is confirmed when the item is seen. Condition is verified when it is seen again. Value is derived from the item, the market and the channel, with the basis recorded. The decision is made under the organization’s rules and written back.
Evidence does not need to be reconciled. That is the whole argument. The system can stay. The record has to change.
